Zudello fetches contact and item data directly from Xero to enable you to manage your account receivable documents. Zudello’s regular fetches ensure your two platforms are in sync with accurate data leading to easy set-up and record maintenance.
Import customer orders into Zudello for a complete extraction. Zudello extracts your customer’s orders in full, including the capture of inventory items, eliminating manual data entry. After the order is reviewed, use Zudello’s dynamic approval workflows to send the document through a designed approval process based on your business processes or bypass approvals and begin processing the document straight to Xero.
Once fully-approved and processed, the order will be processed and a Sales Invoice transaction will be created in Xero.
Fetching Contacts from Xero
Zudello fetches your Contacts directly from Xero leading to easy setup and maintenance. Using Fetch workflows, Zudello initiates scheduled data fetches, importing newly created and updated contacts from your Xero account.
Zudello typically schedules Contact fetches to occur on an hourly basis, however you can configure the workflows to increase or decrease the frequency of fetches depending on how often you add and update customers.
Once the contact has been created in Zudello, you’ll be able to match your customer’s orders to the correct contact account and create the corresponding Sales Invoice in Xero.
Fetching Items from Xero
Like contacts, Zudello fetches your items directly from Xero, maintaining it as your system of truth. Using the Xero Item fetch workflow, Zudello fetches recently updated and created items on a scheduled basis.
Zudello typically schedules item fetches to run on an hourly basis, however you can control this frequency through Workflow configuration.
Once your item has been created in Zudello, you’ll be able to capture it directly from your customers purchase orders and use them when creating Sales Orders.
How create Xero Sales Invoices
Step 1:
From the Sales module begin the process by importing your customer’s orders directly into Zudello. Either email the orders directly to your Zudello Sales inbox or manually import documents using our Upload function to begin the capture process.
Step 2:
Once imported, Zudello will extract the customers purchase order in full including line-items and match them to inventory items if available. Zudello also captures non inventory related customers order, extracting them down to the line description.
Zudello further automates the review process by applying default coding based on contact, item or document automations to the order to prepare it for processing. Based on the contact identified, Zudello will automatically match the order to your contact in Xero and validate contact details.
Step 3:
Based on the Sales approval workflow set-up, orders will be delegated to the correct approver based on your businesses approval requirements.
Once an order is assigned to an approver they will receive an approval email alerting them that there is an order to action in Zudello. Approvers will be able to either review and approve direction from email or log into Zudello to action it in the platform. Zudello enables you to send the document through up to 8 approval stages before processing.
Step 4:
Alternatively, Zudello has the ability to skip an approval process altogether and process the order directly to Xero after being reviewed.
In both cases, once a document is fully approved or ready to be processed, Zudello will instantly send the contact order to Xero as a Sales Invoice transaction.
Creating Sales Invoice Workflow
Zudello’s Create Sales Invoice workflow executes immediately after the order has been marked as fully approved and ready for processing. Unlike the fetch workflows which run on a scheduled basis, the Zudello Create Sales Order workflow runs based on an event triggered by the document being fully approved. As a result, each document is processed to Xero immediately after the document is actioned.
