Adding/Editing Approvers in data sets. Setting approval limits and editing email addresses.
A data set is used within Zudello as an editable location for information required in workflows. Data sets can be called upon within a workflow to retrieve information regarding users and workflow settings. This is a practical way to keep staff and company records up to date, especially with a high number of staff and company locations, departments, categories etc.
It is important to note that when a data set is being read by a workflow, it will start from the top of the list and work its way down until it comes across data that satisfies what is being requested.
Step 1:
Navigate to "Settings" within the your team.
Step 2:
On the left sidebar, scroll down to the "Developer" section and click "Data sets".
Step 3:
Select a data set you want to update. Be careful as editing some data sets may cause issues within a Zudello workflow. Ensure you have the right one and if you are unsure please contact a Zudello staff member to confirm.
Step 4:
Click "Edit data".
Step 5:
To add new data such as an approver, click "Add row". The new row will be added to the bottom of the data set.
Step 6:
Scroll down to the new row, and click into each section to enter the relevant details.
Step 7:
"Exception Category" is an optional field. If the approver does not have an exception category, leave this field blank. Once you are happy with your changes press "Enter" on your keyboard, then click "Close".
Step 8:
You can also edit existing approvers. Simply find the approver that you want to edit.
There are a number of ways that you can filter and sort the data to find the row you need to edit. You can filter and sort on any of the columns.
To sort a column, simply click the column header. This will cycle between Ascending, Descending, and unsorted.
To apply a filter, click the three lines in the relevant header.
Click the filter icon.
Firstly, deselect (Select All).
Next, use the "Search..." field to search for the store you would like to change.
Click the checkbox next to the store code.
You will now see the dataset rows for the selected store/s.
Step 9:
Click into the field that you want to edit, make your changes, then press "Enter" on your keyboard and click "Close".
Step 10:
To remove a user, click the checkbox next to the users name.
Click "Remove selected".
Step 11:
Once done editing the contents of the data set click "Close".
